Vice Chair

Main purpose of the Vice Chair role:

The main purpose of the Vice Chair role is to provide support to the Chair and take their place leading meetings if the Chair is absent.

Roles and Responsibilities:

Summary of the Vice Chair role

  • Run meetings in the Chair’s absence
  • Step up to role of Acting Chair if the Chair resigns and a new Chair is not appointed immediately
  • Aid Chair with recruitment of new Committee members
  • Ensure a full complement of Reps from each year groups are signed up and know their role
  • Apply for an annual Raffle Licence
  • Acquire Temporary Events Notices for all PTA events where alcohol will be sold.
  • Organise Beautify Belmont annually
  • Oversee the PTA Newsletter – ensure it is produced and approve it before it goes to the school for approval
  • Oversee Classlist in conjunction with any other approved administrators to ensure content is appropriate and it is being used effectively
  • Organise Christmas gifts and cards for relevant people
  • Attend the PTA Committee Meetings, PTA Forums and PTA Annual General Meeting (AGM) in November. A minimum of 20 people are required for the AGM.
  • Discuss and vote on funding bids submitted to the PTA

Roles and Responsibilities continued:

  • Encourage support and uptake for initiatives such as Easyfundraising/collecting supermarket vouchers, PTA events etc.
  • Attend, be involved in and support the majority of PTA events
  • Promote the School community spirit
  • Have a clear DBS check completed through the school

Additionally, the Vice Chair may:

  • Be a signatory on the PTA Bank Account
  • Present to parents at the PTA Home School evening

Key skills needed for role:

  • Confident and assertive – be able to control meetings and call to order when necessary, making sure everyone has the opportunity to speak
  • Ability to remain impartial – respect the views of all
  • Calm, friendly and approachable – make sure everyone feels welcome and the school and parents/carers work together in harmony.
  • Eye for detail and organisational skills.
  • Organised and good at delegation
  • Team player.
  • Good communicator.

Chair

The main purpose of the Chair role is to lead PTA meetings (Forums, AGM and Committee meetings) and make sure that everyone has a chance to get involved and be heard.

Treasurer

The main purpose of the Treasurer role is to keep accurate financial records and ensure best practice procedures are followed for counting money, banking and making payments.

Secretary

The main purpose of the Secretary role is to support the Chair to build effective communication links between the school and the PTA and maintain accurate records.

Generalist Member

The main purpose of the Generalist Member role is to provide support to the all members of the PTA Committee. Generalist Members will cover Committee roles where parent/carer volunteer members are in absence.

Class Rep

Each class needs at least one Rep, with a maximum of three Reps per class. A Rep’s tenure is one academic year, although those who wish to continue in their role are very much encouraged to do so.
